What you’ll be doing...

You’ll ensure that all is running smoothly for the executives in your group. You’ll be answering calls, greeting guests, planning travel, scheduling appointments, handling travel expenses, and essentially taking care of the day-to-day operations in the office so that the executives can focus on the business while you take care of the rest.

  • Assembles weekly reports of information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics submitted by the Executive Director, Directors and Indirect Reports.

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, summits, teleconferences, and travel.

  • Performs financial duties, including but not limited to, expense report processing, purchase order creation/receiving, handling of vendor invoices through purchase order processing and reconciliation, purchasing of equipment and supplies as requested.

  • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries to the appropriate contacts.

  • Maintains confidence and protects operations by keeping information confidential; uphold a strict level of confidentiality

  • Completes projects and tasks as assigned; contributes to overall team effort by assisting on project work, as needed.

  • Maintains an organized filing system of paper and electronic documents

  • Attends meetings as requested and records meeting discussions and notes for distribution to attendees, as directed.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. Coordinates and handles shipments and processing of mail items as needed.

  • Keeps record and tracking of concession device accounts and associated operated by the Executive Director, Directors and Indirect Reports.

  • Works closely with other Executive Assistants on projects and tasks, as needed (i.e. coordination of events)

  • Plans, coordinates and arranges team events, meetings and staff appreciation events

You’ll need to have:

  • A Bachelor’s degree or one or more years of work experience.
  • Supported senior leaders.
  • Experience with Microsoft Office Suite.

  • Excellent communication skills and ability to focus on the details.
  • Prepared executive presentations, communications, and reports.
  • Managed multiple projects and priorities for yourself and others.
