What you’ll be doing...

You’ll ensure that all is running smoothly in the office. You’ll be answering calls, greeting guests, planning travel, scheduling appointments, and essentially taking care of the day-to-day. You’ll pull together reports and presentations, or you might plan an event or an office move. Additionally, you will manage diverse daily administrative activities and provide executive support to Executive Director and (3) Directors in the Corporate Security Organization. Your role is critical to creating an environment where everyone can do their best work.

  • Providing administrative support for the Global Security Team.
  • Scheduling and arranging meetings and appointments.
  • Answering calls and greeting visitors.
  • Preparing reports, presentations, proposals, and correspondence.
  • Onboarding new administrative team members.
  • Finding new ways to increase office efficiency and better ways to support the team.
  • Managing inbound contacts such as telephone, e-mail and chats.
  • Recognizing business critical contacts and route appropriately for action based on urgency and business impact.
  • Organizing and managing the Directors’ meeting calendars in Google Calendar with Gmail.
  • Scheduling meetings as necessary to ensure that appropriate parties are in attendance and based on scheduling information, anticipating travel requirements and planning and executing travel bookings using ordering system.
  • Providing ad hoc administration for the management team within the group including time reporting, absence management and expense control.
  • Performing the administrative functions necessary for the submission of vouchers and expenses.
  • Developing presentation material production in PowerPoint, including collating information from various decks and importing Excel data.
  • Coordinating large meetings with catering requirements.

You’ll need to have:

  • Bachelor’s degree or one or more years of work experience.

Even better if you have:

  • A degree
  • Eight or more years of experience with at least three of those years working with senior executive personnel.
  • Significant work experience in a corporate environment with the ability to take initiative and work independently on projects, to devise own methods, approach and procedures in fulfilling assignments.
  • A high proficiency in the use of all Microsoft Office Applications (Excel, PowerPoint & Word) and an understanding of payroll and ordering systems.
  • Demonstrated capability to think logically, pay close attention to detail, establish procedure and follow through until completion and comfort in a dynamic environment with the ability to multitask and respond to changing priorities.
  • Juggled multiple high priority projects.
  • Supported a team for their administrative needs.
  • Demonstrated ability to stay organized and meet deadlines.
  • Capability to effectively prepare correspondence and reports and create all requisite documentation.
  • Ability to be highly organized and to manage employee sensitive and business information with utmost confidentiality.
  • Demonstrated strong written and verbal communication skills
