Be a part of an exciting team on the forefront of cutting edge global products. In this role, you will be supporting fast paced executive leaders in the product and technology teams. You'll be in the middle of all of the top action and ensure all is running smoothly for the executives in your group. You’ll be taking care of the day-to-day operations in the office as well as managing calendars, travel, calls, greeting guests, and handling travel expenses.   • Supporting several leaders with lots of direct reports.
  • Screening and prioritizing communications, both external and internal.
  • Preparing agendas, reports, presentations, and other important materials.
  • Scheduling and arranging meetings and appointments.
  • Some evenings and weekends may be required in urgent situations.

Support Multiple Executives

  • Weekly planning meeting with supported executives
  • Balance efforts across all executives supported
  • Plan team building events
  • Cross train and identify back-up EAs

Calendar Management

  • Maintain calendar(s) resolving conflicts
  • Coordinate with other EAs and staff as needed

Meeting Planning and Coordination - Internal and External

  • Reserve conference/meeting rooms.
  • Coordinate meal and beverage requirements addressing dietary restrictions as needed. Assist with group dinners and reservations.
  • Ensure flawless local execution of central employee experience strategy (e.g. social events, webcast viewing parties, signage, desk drops, etc.)
  • Promote a positive onboarding experience by setting up Day 1 Welcome Kits on new hire desks

Travel Management

  • Make travel arrangements in accordance with company policy
  • Follow and communicate company guidelines
  • Provide multiple travel options ensuring best/lowest costs
  • Add all travel to Executive calendars noting busy time accordingly

Expense Management

  • Complete/submit expense reports adhering to company guidelines
  • Inspect to ensure best/ lowest costs when incurring any expenses e.g., travel, supplies, etc.
  • Remind execs of deadlines for expense reports and gather missing receipts

Facilities Support

  • Coordinate local needs with local GRE support, Verizon Connect GRE POC, property management, and vendors
  • Support coordination and planning for restack/move activities
  • Assist with local business continuity and emergency preparedness plans

You’ll need to have:

  • A Bachelor’s degree or one or more years of work experience.
  • Supported senior leaders, experience fulfilling Executive Assistant duties and responsibilities.
  • Experience with expense management software such as SAP Concur, travel scheduling software, corporate technology tools and systems, Microsoft Office suite products, Google suite products.

Even better if you have:

  • Proven ability to work well independently and under pressure.
  • Excellent communication skills, verbal and written,and ability to focus on the details.
  • Flexibility with changing priorities and works with sense of urgency.
  • Prepared executive presentations, communications, and reports.
  • Managed multiple projects and priorities for yourself and others.
  • Comfort supporting 2-3 executives, some of whom may or may not be co-located.
  • Adherance to culture of respect, service, excellence, and integrity.
