What you’ll be doing...

You’ll ensure that all is running smoothly in the office. You’ll be answering calls, greeting guests, planning travel, scheduling appointments, and essentially taking care of the day-to-day. You’ll pull together reports and presentations, or you might plan an event or an office move. Your role is critical to creating an environment where everyone can do their best work.

You will perform diverse secretarial and administrative duties for a number of managers including a region vice president. Candidate must possess strong oral and written communication skills to enable them to interact with staff members within the organization, external clients, stakeholders, and outside vendors. You perform well in a team environment. Also, must be able to work with senior executives and high ranking government officials and their assistants.

Handle reasonable call volumes, screen visitors with diplomacy and guard the executive’s calendar, since there are so many demands on their time. Exercises judgment and discretion within established policies and procedures. This position requires a good overall knowledge of the various departments and functions within Verizon.

Responsibilities include:

  • Communicating with executive, administrative, and line personnel to gather or convey information.
  • Providing office support for the local team.
  • Screening phone calls, email, visitors and resolving routine and some complex inquiries. Preparing correspondence, memoranda, reports, agendas, etc.
  • Scheduling and maintaining calendar of appointments, meetings, and travel itineraries. .Handling calls and complaints with courtesy, and directs to appropriate staff member.
  • Preparation and review of expense reports for compliance and errors.
  • Data Collection: including: Creating a tracking Word or Excel spreadsheet, Requesting data from internal contacts, populating tracking documents with provided data, follow-up with contacts to ensure data receipt and accuracy.
  • Scheduling and arranging meetings and appointments.
  • Greeting visitors.
  • Preparing presentations, proposals, and correspondence.
  • Onboarding new administrative team members.
  • Finding new ways to increase office efficiency and better ways to support the team.

    You’ll need to have:

    • Bachelor’s degree or one or more years of work experience.

    Even better if you have:

    • A degree.
    • Three or more years of experience in an Executive Assistant title and preferably five or more years of experience.
    • Proficiency in managing executive’s calendars and properly scheduling meetings.
    • Juggled multiple high priority projects.
    • Supported a team for their administrative needs.
    • Google Suite skills.
    • Demonstrated ability to stay organized and meet deadlines.
    • Capability to be highly organized, detailed minded, and have the ability to multi-task since priorities change daily.
    • Good mathematical and analytical skills to review expense statements and check requisitions for accuracy, as well as preparing expense reports accurately and in a timely manner.
    • Knowledge of employee personnel records, headcount and requisitions, and ability to work with a high degree of confidentiality.
    • Strong PowerPoint knowledge and experience.
    • Knowledge of time reporting and the various systems.
    • Knowledge of Ariba and all functions including ordering supplies.
    • Knowledge of Accounts Payable Systems including purchase order and non-purchase order, T360 and ERP Portal.
    • Working knowledge of Excel.
