What you’ll be doing...

You’ll ensure that all is running smoothly for the executives in your group.You’ll be answering calls, greeting guests, planning travel, scheduling appointments, handling travel expenses, and essentially taking care of the day-to-day operations in the office so that the executives can focus on the business while you take care of the rest.

  • Supporting several leaders with lots of direct reports.
  • Screening and prioritizing communications, both external and internal.
  • Preparing agendas, reports, presentations, and other important materials.
  • Scheduling and arranging meetings and appointments.

Some evenings and weekends may be required in urgent situations.

Incumbent must provide high-level, full range administrative assistance support to the executive director and director level managers. Candidate must possess strong oral and written communication skills to enable them to interact with staff members within the organization, external clients, stakeholders, and outside vendors in a professional manner. The incumbent must perform well in a team environment. Also, must be able to work with senior executives and high ranking government officials and their assistants.

Should be able to handle reasonable call volumes, screen visitors with diplomacy and guard the executive’s calendar. Exercises judgment and discretion within established policies and procedures.

Responsibilities include:

  • Communicating with executive, administrative, and line personnel to gather or convey information.
  • Screening phone calls, email, visitors and resolving routine and some complex inquiries.
  • Preparing correspondence, memoranda, reports, agendas, etc.
  • Schedules and maintains calendar of appointments, meetings, and travel itineraries.
  • Handles calls and complaints with courtesy, and directs to appropriate staff member.
  • Preparation and review of expense reports for compliance and errors.

You’ll need to have:

  • Bachelor’s degree or one or more years of work experience.
  • Supported executive level leaders.
  • Experience with Microsoft Office Suite.
  • Analytical experience with expense statements, budget tracking and requisitions.

Even better if you have:

  • A degree.
  • Two or more years of Capitol Hill experience as a Scheduler or Executive Assistant.
  • Proficiency in managing executive’s calendars and properly scheduling meetings.
  • Proven ability to work well independently and thrive in a dynamic environment.
  • Communication skills and ability to focus on the details.
  • Prepared executive presentations, communications, and reports.
  • Managed multiple projects and priorities for yourself and others.
  • Capability to be highly organized, detailed minded, and have the ability to multi-task since priorities change daily.
  • Working knowledge of G Suite.
  • Knowledge of Legislative operations.
