What you’ll be doing...

Support multiple Marketing Directors. Provide executive level administrative support for the Marketing organization. Requires strong computer skills, flexibility, excellent interpersonal skills, project coordination experience; ability to work well with all levels of internal management and staff, outside clients and vendors. This position requires a thorough knowledge of the Executive's span of control, as well as, company policies and procedures. Incumbent must be able to safeguard confidential information. This role is an integral part of the team and should be a brand ambassador for the Organization.

Responsibilities:

  • Manage multiple schedules and appointment(s) calendar(s) and maintain sensitivity to changing priorities.
  • Coordinate to resolve executive scheduling conflicts and ensure constant coverage.
  • Provide coverage for traveling Directors as needed.
  • Schedule all business travel accommodations.
  • Reconcile and maintain all expense reports in accordance with guidelines.
  • End-to-end management of team events including onsite and offsite meetings.
  • Compose and prepare high-level correspondence, PowerPoint presentations and Spreadsheets as needed.
  • Provide on-site assistance for building / office coordination & communication.
  • Track and report team Recognition/Rewards when needed.
  • Oversee administrative policies within the organization; recommending changes as appropriate.
  • Maintain inventory and office supplies; anticipate office needs; evaluate new office products; expedite orders when necessary.
  • Ensure operation of office equipment, order maintenance when necessary.
  • Performs ad hoc project-related duties as requested.
  • Screening and prioritizing communications, both external and internal.
  • Preparing agendas, reports, presentations, and other important materials.
  • Scheduling and arranging meetings and appointments.
  • Willingness to work a flexible schedule, including nights and weekends as necessary.

You’ll need to have:

  • Bachelor’s degree or one or more years of work experience.

Even better if you have:

  • A degree.
  • Four or more years of administrative support for senior leaders.
  • Ability to work independently and thrive in a dynamic environment.
  • Experience with Microsoft Office Suite/Gmail.
  • Communication skills and ability to focus on the details.
  • Prepared executive presentations, communications, and reports.
  • Managed multiple projects.
