What you’ll be doing...

The Executive Assistant will be responsible for the coordination of activities (operations and planning) and ensuring timely flow of information to and from the executive office. The person in this role handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. This person will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize and maintain administrative processes is essential to this position.

In addition, will be responsible for coordinating and preparing presentations and packets and most is able to work with and bring together cross-functional coordination between programs and departments.

The ideal candidate will be dynamic, high-energy, organized, and able to support cross-functional coordination in a fast pace environment and possess excellent judgment. In addition, will be required to be available during regular business hours, evenings and/or weekends, on occasion/as needed to provide support and assistance to the Executive Director (ED) and the organization.


  • Communicates with employees at all levels of the organization to gather or convey information. Continuous contact with external parties will also be required to handle questions, resolve issues and provide information.
  • Composes and prepares a high level of communications including correspondence, presentations and spreadsheets.
  • Coordinates meetings, conference calls, videoconferences and events and takes meeting minutes
  • Manages schedule and appointment calendar(s) and maintains sensitivity to changing priorities. Works with other Executive Assistants to coordinate Executive schedules.
  • Screens and directs incoming calls effectively with considerable use of tact, diplomacy and courtesy.
  • Make travel arrangements- scheduling itinerary, meetings, and related activities. Proactively prepare necessary materials for meetings, presentations, etc.
  • Reconciles and maintains all expense reports in accordance with Verizon guidelines.
  • Handles sensitive information requiring a high degree of discretion and absolute confidentiality.
  • Performs project-related duties to coordinate small projects.
  • Handle confidential information in a professional and discreet manner.
  • Act as the ED’s representative and ambassador to external constituents as directed.

You’ll need to have:

  • Bachelor’s degree or one or more years of work experience

  • A degree.
  • Experience supporting senior level executives.
  • Ability to handle confidential information appropriately.
  • Experience in the following software programs: (G-Suite, Word, /Excel/PowerPoint, databases).
  • Experience in administrative preparation of executive presentations.
  • Excellent written and verbal communication skills.
  • Ability to stay focused, efficient, and effective in managing multiple priorities.
  • Strong interpersonal skills and good judgment.
  • Ability to work independently to achieve accomplishments.
  • Ability to communicate effectively with all levels of employees and outside contacts.
  • Ability to effectively collaborate with internal team, cross-functional team, and external parties in a dynamic, challenging environment.
  • Willingness to work a flexible schedule, including nights and weekends as necessary.
