What you’ll be doing...

The CMO Operations team is looking for a Manager of Operations to provide strategic operational leadership for a wide range of initiatives and critical responsibilities. The CMO Ops team provides custom project management and operational services in a rapid paced, constantly changing environment.

In this role, you play a critical part of the organization, accountable for fiscal and operational responsibilities across 4 key areas for the Chief Marketing Organization. This role will involve aligning of all working and non working related project spend, developing and managing process/workflow and controls/governance from budgeting to billing, developing key reporting, performing strategic analysis and disseminating insights (e.g. YoY comparisons, forecast & pacing reports, enterprise rollups) for financial stewardship and annual budget planning as well as be the key liaison for Accounting and Corporate Finance.

  • Budget Management & Planning - responsible for the holistic T&E budget for the CMO organization including planning in partnership with Finance, monthly reconciliation with CMO leadership, team leads, and Financ
  • Capital Expense & Procurement - perform forecast, planning and budget management of CapEx in partnership with Finance; equipment procurement and inventory processes for all non-IT managed devices and equipment (MacBooks, software licensing, etc)
  • Headcount Management - lead employee and contractor processes including approval management, budget reconciliation with HR, Finance, and CMO key stakeholders
  • Sourcing Process - lead and oversee invoice management and vendor management for all CMO, creating all the necessary processes and enhancements, well as ad-hoc projects including working with third party vendors, key stakeholders, and cross-functional teams
  • Holistic budget management including project/initiative reporting and budget closes processes monthly, quarterly and annually; develop best views, outlooks to ensure finance is occurring to accurate totals;
  • Conduct project and program reviews with stakeholders to ensure projects are on task, and remain on schedule, especially in capital and expense.
  • Ensure budgetary controls and that projects remain in budget.
  • Processing and following through our SOW creation, partner/vendor onboarding, accounts payable, and sourcing needs.
  • Performing Ad Hoc purchasing requirements, P/V Cards, and reporting as needed.
  • Meet with the necessary cross-functional teams and key stakeholders to discuss project components/phases to ensure spend is within budget
  • Invoice management: Ensuring interal routing efficiency, facilitation with Accounting and Finance, BU/CMO teams and agency partners; ensuring payments are made in a timely manner, escalating as necessary and stewarding teams through process
  • Financial ops tasks including managing team delegation of authority, develop annual coding for invoicing, facilitating vendor setup with Financ
  • Oversight and leadership of auditing and financial compliance guidelines, projects and training for the entire CMO team
  • Project management lead between all the vertical units within the CMO organization such as Media, Sponsorships, Experiential, Digital Marketing COE, Corporate Finance, Business Unit Finance, Marketing Effectiveness, and Marketing Segmentation teams
  • Key liaison for CMO Ops Team to Finance and Accounting
  • Manage departmental budget for Chief Marketing Officer and Director of CMO Operations
  • Manage the relationship with our internal clients addressing any procurement/sourcing/AP/GVP inquiries regarding project status, funding, sourcing, and any specific needs they may have.

What we’re looking for...

You'll need to have:

  • Bachelor's degree or four or more yearsof work experience.
  • Six or more years of relevant work experience

Even better if you have one or more of the following:

  • Advanced Excel skills
  • Analytical and creative problem solving skills.
  • Detail oriented, high level of accuracy, organization around financial data, and reporting skills.
  • Ability to manage financial and budget outlooks and reporting
  • Ability to be flexibility and collaborative work approach to solve complex problems and to develop specific solutions, taking into account multiple internal and external stakeholder groups and different level of stakeholder groups.
  • Ability to thrive in fast paced work environment.
  • Excellent written and verbal communication skills.
  • Comfortable working with executives and leadership.
  • Ability to change direction often and effectively.
  • Ability to work independently as needed.
  • Master’s degree
  • Seven plus years of experience in Finance, Operations, and/or management of marketing budgets
  • Experience with ERP systems, vendor onboarding, payment and sourcing processes, capital, and expense policies
  • Project management skills
  • Experience leading a portfolio of strategic projects on a weekly basis
