What you’ll be doing...

As an Executive Administrative Assistant you will provide general administrative support to the VP - Marketing Science & Lifecycle Management for the B2B organization.You will be the face of the VP to all internal and external stakeholders and guests. You will help the VP stay organized by handling all calendar, meeting, correspondence and travel requests and details.

  • Perform ad hoc project-related duties as requested.
  • Handle sensitive information requiring a high degree of discretion and absolute confidentiality.
  • Finalize executive presentations (check for formatting, typos etc.).
  • Screen and direct incoming calls effectively with considerable use of tact, diplomacy and courtesy.
  • Compose and prepares correspondence on behalf of VP when required.
  • Greet visitors and accommodate their needs as necessary
  • Communicate Verizon guest processes to visitors (parking, arrival time and location, etc.).

Other day to day Responsibilities:

  • Travel:
    • Make travel arrangements, working with travel coordinator to schedule flights, ground transportation, and accommodations, prepare and communicate itinerary to VP.
    • Reconcile and maintain all expense reports in accordance with Verizon guidelines.
  • Email
    • Continuously scan email and identify emails from senior leaders (pass to business operations for inclusion in deliverables tracker).
    • Scan email for requests and delegate if appropriate.
  • Meetings Management:
    • Coordinate conference calls, video conferencesand other telecommunication requests; this will require thorough understanding of all telecommunication features.
    • Collaborate with VP and Operations Manager to create and build agenda for all team meetings.
    • Collaborate with other EA’s to manage all logistics for all team meetings which includes identifying location, catering, sending invitations, managing team communications etc.
    • Coordinate preparation of team meeting presentations (birthday announcements, awards & recognition announcements, other team announcements).
  • VP Calendar Management:
    • Schedule all meetings and communicate all essential details to participants.
    • Ensure VP is prepared for upcoming meetings by gathering materials necessary for each meeting (agenda, pre-reads, presentations, location, aligning with appropriate team member, etc.).
    • Proactively screen all meeting requests to determine the purpose of the meeting and what, if any preparation needs to be done. (receive pre-read or prepare pre-read/presentation).
    • Track all meeting requests, ensure meetings have been scheduled or delegated.
    • Prioritize meetings and manage weekly calendar.
    • Proactively manage calendar 2-4 weeks out to identify conflicts and ensure VP is prepared for upcoming presentations.

What we’re looking for...

You'll need to have:

  • Bachelor’s degree or one or more years of work experience.
  • Executive administrative assistance experience or relevant work-related experience.
  • Experience with Google Suite productivity and connection tools including; Google Email, Google Hangouts/Meet, Google, Google Drive, Google Slides/docs/sheets.
  • Experience MS Word, PowerPoint and Excel.
  • Willingness to work extended hours including evenings and/or weekends if needed.

  • Ability to be detail-oriented with strong organizational skills and time management skills, ability to keep track of and accurately follow up on all issues.
  • Experience in operations support.
  • Positive, proactive, ‘can do’ attitude with excellent problem solving ability.
  • Capability to work efficiently and effectively in a fast-paced professional environment.
  • Capability to be a self-starter with a strong sense of ownership, proven ability to work independently.
  • Comfort with rapid changing priorities and schedules, managed multiple tasks with ability to successfully prioritize and meet deadlines.
  • Capability to effectively interact with senior level management and maintain a high level of confidentiality.
