What you’ll be doing...

As an Operations Specialist, you will work in an energetic department overseeing the daily administrative activities related to the Aviation Development Center (ADC). Primarily you will be the point of contact for tracking financial transactions, creating purchase orders, monitoring accounts receivable/accounts payable, and following up with vendors on quotes and delivery dates for products or services. The specialist will perform a crucial role in assisting the ADC management team in three key areas: financial management, project management, and departmental administration. The specialist must also be able to professionally communicate with internal teams and external vendors to assist the ADC director with the timely resolution of customer inquiries, payments to vendors, or purchase/delivery of new equipment.

  • Assisting with the creation and tracking of purchase orders for the ADC team.

  • Ensuring timely payment for services, materials, products.

  • Creating new accounts for new service providers.

  • Requesting quotes from a wide variety of providers and tracks the progress of each.

  • Assisting with preparing monthly financial statements on capital and expense expenditures.

  • Assisting with budgeting projections.

  • Invoice tracking including submittal for payment and reconciliation.

  • Creating purchase orders for expense or capital purchases.

  • Monitoring and reporting monthly facility operating expenses for the ADCs.

  • Assisting with providing source material for creating/maintaining executive presentations.

  • Assisting with processing nondisclosure agreements with new clients.

  • Assisting with researching new initiatives or industry trends.

  • Assisting with tracking the utilization and location of ADC assets including facilities, vehicles, and all aircraft in the ADC inventory.

  • Assisting with scheduling, tracking, and reporting on mandatory facility inspections such as AED inspections, pest control services, or first aid kit inspections.

  • Assisting with maintaining a common calendar for the ADC assets.

  • Assisting with scheduling facility maintenance, janitorial services, landscaping, and routine inspections.

What we’re looking for...

You’ll need to have:

  • Bachelor’s degree or four or more years of work experience.

  • Three or more years of relevant work experience.

  • Knowledge of Microsoft Office, PowerPoint, Excel, Outlook.

Even better if you have:

  • Ability to work flexible hours when required.

  • Ability to maintain strict confidentiality of current or perspective projects, vendor selection, and equipment acquisitions.

  • Ability to prioritize multiple projects and make appropriate decisions.

  • Ability to analyze reports and provide timely feedback.

  • Strong vendor coordination skills.

  • A degree in business, accounting, operations management, or aviation administration.

  • Knowledge of Google GSuite.

  • Three or more years of experience in business administration.

  • Two or more years of project management experience.

  • Project management training or PMP Certification.
