As a highly talented EA, you will be a multiplier for the leader, and play a key role in the overall organisation. You will ensure that all is running efficiently for the executives in your group. You will be answering calls, greeting guests, planning travel, scheduling appointments, handling travel expenses, and looking after the day-to-day operations in the office so that the executives can focus on the business while you take care of the rest. As EA for the executive team

  • Supporting several leaders with many direct reports.
  • Provide high level support to the leader, working as a partner.
  • Brief the leader on the day and the week ahead.
  • Ensure the leader is prepared for all meetings - materials sent in advance, notes and actions for all meetings.
  • Sending meeting agendas ahead of meetings / communicating meeting notes after meetings.
  • Follow-up on actions and deliverables due to the leader.
  • Maximize the leader’s time - make decisions on meetings/calls with guidance as needed from the leader.
  • Communications on behalf of the leader when agreed.
  • Screening and prioritizing communications, both external and internal.
  • Scheduling and arranging meetings and appointments.
  • Preparing agendas, reports, presentations, and other important materials.
  • Special events and project management as needed.
  • Calendar Management.
  • Travel planning.
  • Expense Management.

You’ll need to have:

  • Bachelor’s degree or relevant work experience.

Even better if you have:

  • Experience managing multiple high priority projects.
  • Excellent written and verbal skills.
  • Experience supporting a team for their administrative needs.
  • Flexibility with working schedule during times of urgency.
  • Excellent Microsoft Office Suite, or Google G Suite skills.
  • Demonstrated ability to stay organized and meet deadlines.
