What you’ll be doing...

You will provide general administrative support to the Chief of Staff to the EVP & CMO, the CMO Leadership, and performs as a support backup for the office of the EVP & CMO. This role requires thorough knowledge of the executive team, marketing leadership, as well as, company policies and procedures. Incumbent must be able to safeguard confidential information. You must have excellent communication skills and diplomatic skills to work in a professional manner with people, both internal and external, across several management levels. You must have sound judgment; be extremely organized with a strong emphasis on attention to detail.

You will manage the CoS calendar, travel, calls, greeting guests, and handling travel expenses. You will need to be motivated by being an integral part of the team, supporting the executives that help drive our business results in a way that allows them to be their best. You will also schedule and arrange meetings, document and distribute meeting notes/next steps, screen and prioritize communications, and care for general and ad-hoc needs of the CoS. Ensure the CoS is prepared for upcoming meetings by gathering materials necessary for each meeting (e.g., meeting agendas, pre-reads, presentations, location, aligning with appropriate team members).

This position will also manage a diverse range of daily activities that support the Verizon Marketing organization from the New York City main location. Functions include: ensure time management of meetings and manage hospitality efforts for visiting guests and leaders. You will organize and coordinate the ongoing operation of the office overseeing and managing the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively.

This hybrid role will have a defined work location that includes work from home and assigned office days as set by the manager.

This position provides logistics support for executive meetings which includes but is not limited to; conference room / telepresence scheduling, room setup and preparation, meeting material preparation, coordination and catering. Incumbent will serve as a point of contact for guests visiting the location.

  • Maintain inventory and office supplies; anticipate office needs; evaluate new office products; expedite orders when necessary; including tracking of supply expenses.
  • Manage schedule and appointment calendar(s) and maintain sensitivity to changing priorities.
  • Coordinate with other Executive Assistants to resolve executive scheduling conflicts and ensure constant coverage.
  • Manage cross organizational calendars.
  • Prepare meeting agendas and compile documents in advance.
  • Organize, coordinate, and take minutes at various meetings.
  • Schedule all business travel accommodations.
  • Reconcile and maintain all expense reports in accordance with guidelines.
  • End-to-end management of team events including offsite meetings.
  • Compose and prepare high-level correspondence, reports, collect and analyze information, and prepare presentations as needed.
  • Process purchase requests and invoices.
  • Oversee administrative policies within the organization; recommending changes as appropriate.
  • Ensure operation of office equipment, order maintenance when necessary.
  • Performs ad hoc project-related duties as requested.

The position requires the capability to handle several projects in parallel and follow through on expectations, with minimal supervision. You should be self-motivated, a fast learner, proactive in anticipating needs and thinking beyond the guidelines provided in the role. You are able to work independently and contribute as an effective team member. Accuracy and adherence to deadlines in a fast-paced environment is essential. This position can be described as anExecutive Support and Project Coorindator (EPC).

You must be dependable, proactive, highly organized, detail oriented individual and be able to handle sensitive information with absolute confidentiality.

You’ll need to have:

  • Bachelor’s degree or one or more years of work experience.
  • Experience supporting senior leaders.
  • Experience with Microsoft Office Suite.
  • Must be flexible to work overtime as needed.
  • Occasional visits to local offices needed. Willingness to travel.

Even better if you have one or more of the following:

  • Four or more of years administrative experience supporting senior level executives within a comparable corporate environment.
  • Polished executive assistant with professional maturity and previous corporate environment experience.
  • Hospitality experience.
  • Ability to effectively interact with senior level management and maintain a high level of confidentiality.
  • Ability to successfully prioritize and provide accurate follow up on all issues and correspondence.
  • Advanced knowledge of Google Suite or Microsoft office suites.
  • Writing and grammatical skills (i.e. for generating and editing memos).
  • Capability to be detail-oriented and possess strong communication and organizational skills.
